If your school needs air transportation for your team, band, alumni and/or fans, Air Denver can help.
When it comes to transporting large numbers of passengers, you want to make sure everything runs smoothly and on time. You could hire a travel coordinator, or refer it to someone with little or no experience in such endeavors. Or, you can have Air Denver do it for you, for FREE.
Purchasing your bowl travel through Air Denver not only gets you the best aircraft and at the lowest available price, but you also get a personal charter coordinator who will assure that every detail of your charter is arranged and monitored every step of the way. If something unforeseen arises, you will have our 25 plus years of experience to help keep things moving smoothly.
How it Works
When it appears your team’s record will earn them a spot in one of our country’s prestigious bowl games, give Air Denver a call at (303) 333-3332 or (800) 333-4057 and let us know the following:
- Who will be traveling (ie: team, band, alumni, special guests, fans.)
- The number of passengers in each group.
- When each group needs to arrive and depart.
- Cities you will be flying between.
- Extra baggage, such as team equipment, band instruments, etc.
- Any special needs you may have.
Air Denver will then contact every charter company and airline who can possibly complete the trip. We then notify you of the selected candidates so you may choose the best aircraft and air carrier for your specific needs.
Once the air carrier is selected, your contract will be between your school and the Air Carrier. Air Denver will act as your agent in coordinating all facets of your charter. You will have access to Air Denver’s president, David W. Kempa who will go over the contract with you. He has negotiated hundreds of these contracts over the past 25 years with all of the air carriers. We know industry standards! Most schools will also have their attorneys look over the contract. The lawyers can take care of the legal end, but it’s nice to have someone on your side who is well versed in the aviation side of the contract.
Finding the right aircraft and contracting for them is just the beginning. Some of the other items that Air Denver will assist in completing are:
- Catering, setting up in-flight meal and beverage service. Athletic meals are our specialty.
- Check-in counters and staff
- Baggage check-in and pick-up
- Baggage tags and tagging bags to expedite their correct arrival to various hotels
- Boarding passes
- Distributing passenger manifests
- Coordinating passenger drop off and pick up with the bus companies
- Determining if terminal or fixed base operations are best for the group
- Coordinating security
Air Denver’s charter coordinator will contact every individual involved with the transport and go over what is expected of them and provide them with a written instructions where necessary.
When the trip begins, Air Denver will be there to monitor every step. As with any endeavor, the best laid plans can still bring unexpected complications. Air Denver’s “can-do” attitude and our 25 plus years of experience can smooth over these isolated incidents. This is why every charter we have done has gone smoothly and on time.
If the unthinkable happens, and the air carrier has a mechanical issue, Air Denver can come to the rescue. Another service we provide, is finding back up aircraft.
IF YOU ARE SELLING SEATS to the fans, the charter will have to be registered with the Department of Transportation as a “Public Charter”. Again, Air Denver can help. Over the years, Air Denver has filed hundreds of “Public Charters” and every one was completed perfectly and expeditiously.
Things to know about public charters
Public charters were created to protect the public from unscrupulous operators. Anyone who is selling seats to the general public has to register with the Department of Transportation. Failure to do so, can result in fines up to $1,000 per seat.
A $10,000 cash bond will be needed in addition to the cost of the aircraft. The money needs to be on deposit prior to advertising the flight and remains on deposit for 60 days after the completion of the flight. If everything goes as advertised, your money will be returned with interest. Note: Every Air Denver Public Charter customer has received their deposit back in full and with interest.
